Photos & privacy
A team book holds photos and answers from children and teenagers. This page explains in plain language what happens to them. Our privacy policy is binding – this page summarises it for parents.
The questions parents ask us most
Who sees the photos?
Only people invited to the team book – and even they don't see everything. Players and parents only see their own pages and the photos they uploaded themselves. All content is visible only to the person who created the team book and up to four helpers they add. At HeroBooks, our design team works with the content for the layout and the print shop for printing. Our support only looks inside when you ask us for help or a bug needs fixing.
Are there public links to the photos?
No. Team books and photos are not public and cannot be found via search engines. Only people with an account and an invitation get in; invitation links are sent by the person organising the team book to their team. The one exception: we occasionally show excerpts of finished books as examples, for instance on this website. The organiser confirms the consent of the people shown, and a short email is enough for us to remove an example.
Are the photos used for AI training?
No. Your photos are not used to train AI models and are currently not passed on to any AI provider. The quality check during upload runs on our own servers in Frankfurt.
When are the photos deleted?
Everyone can delete their uploaded photos and content in the team book themselves at any time. A team book with no activity for 12 months is deleted automatically – even if it was never ordered. After an order, we keep the content and print file for another 12 months for reorders. Accounts unused for 24 months are deleted automatically as well. Backups are overwritten after 30 days at the latest.
Where are the photos stored?
Photos, answers and the database are stored with Amazon Web Services in the Frankfurt am Main data centre. The website and sign-in run on service providers based in the USA – the table below lists them. As with any provider whose parent company is in the USA, access from the USA, for example in a support case, cannot be ruled out completely; the privacy policy explains how this is safeguarded.
